Part-Time Bookkeeper/Administrative Secretary

The Cranbury Public Library is looking for a part-time Bookkeeper/Administrative Secretary to join our
team. The ideal candidate has experience as a bookkeeper and confidence working in the QuickBooks
software environment. The Bookkeeper/Administrative Secretary will work closely with the Library Director
and Library Board of Trustees Treasurer to maintain the financial records of the Library.
Under the guidance of, and in consultation with, the Library Director, the candidate’s responsibilities include but
are not limited to, accounts payable, account reconciliations, petty cash management, and creating and
maintaining accurate financial reports and statistics for the Library. The candidate must be able to work
independently, communicate effectively with the Library Director and Library team, and have proficiency in
QuickBooks.

Duties

Processes invoices and records accurate figures and statements for payment
Prepares checks
Reconciles accounts
Enters and maintains record of income and expenses in QuickBooks
Resolves vendor payment issues
Prepares monthly Treasurer’s Reports for Library Board of Trustees’ meetings and other financial and
statistical reports for the Library Director or Library Board of Trustees as needed
Makes bank deposits of monies collected at the Library
Oversees the budget in close consultation with the Library Director
Coordinates with all Departments to ensure library supplies that are needed are
selected, ordered, received, and paid for on time
Works with outside firm and Library Director on annual audit
Maintains meeting minutes for Board of Trustees monthly meetings (Meetings occur the 2 nd Thursday
of every month at 7pm).
Assists in the reporting of the annual NJ Per Capita State Aid Application and NJ State Library
Construction Bond Grant, and other financial reporting requirements as needed
Serves as Notary Public, or has a willingness to become one
Other duties as assigned

Skills:

Knowledge of responsible bookkeeping and accounting principles
Working knowledge of QuickBooks, Microsoft Word, Microsoft Excel, Adobe PDF, and email
Strong attention to detail
Ability to work independently
Ability to meet deadlines
Ability to communicate effectively

Part Time Library Assistant

The Springfield Free Public Library is looking to hire a part-time library assistant to work for up to 16 hours a week. Saturday availability from 9-5 pm is preferred (9:30am-1 pm during July and August) with additional available shifts during the week at our circulation desk and in technical processing.

Requirements for the position include having a high school diploma or equivalent, enjoying working with the public, being comfortable working with computers, and being physically able to shelve books. The starting salary is $15.13 per hour, in accordance with the New Jersey minimum wage for 2024. The position also offers paid sick time in accordance with NJ state law, plus paid vacation time based on the number of hours worked per week. Maintenance Technician

The Maintenance Technician (“MT”) will have responsibilities for the maintenance and repair of an apartment development(s) which may consist of multiple buildings or a single structure. The MT will ensure their assigned apartment development(s) is maintained to company and industry standards of excellence. The MT will work with commitment to maintain a clean, well-maintained property and the mechanical systems which are a part of the development(s). The MT will be available for emergency calls and responsive to safety matters. The MT will provide the follow excellent customer service to resident’s thus encouraging long-term retention.

Effectively manage the unit make-ready program to company standards which is 5 business days
Work collaboratively with the Lead Maintenance Tech, Property Managers and the Director of Property Management to successfully complete apartment unit inspections for both move-ins and move-outs, to include preparing estimates of damages
Follow the company Risk Management directives to maintain a safe property environment
Make repairs and perform proper Preventative Maintenance to company, industry and building codes standards
Seek support from the Lead Maintenance Tech or Director of Property Management before proceeding with unfamiliar measures such as contacting vendors or contractors for non-routine repairs or replacements
Remove snow from sidewalks, entry areas and portions of parking lots with company approved materials and following company procedures which includes maintaining a professional snow log
Ensure all preventative maintenance processes are completed following the proper manufacturer guidance and warranty standards
Maintain common areas in a professional manner and inspect the property and its grounds daily, solving for problems
Proactively manage to avoid surprises by maintaining the property to “inspection level” every day
Provide meaningful input to the capital planning process, budget process and examine expenditures for cost savings and efficiencies – share best practices with colleagues
Work orders, preventive maintenance and apartment turnovers are to be completed within company policy and appropriate timeframes while showing great customer service
Deliver customer service, professionalism, safe work practices, effective property inspections, and follow all Fair Housing and Risk Management initiatives
Ensure property is prepared to excel at all property inspections, including Agency and REAC without the need for surges in staffing or spending
Serve as a role model, mentor, coach and trusted resource to field staff and residents
Complete Unit by Units inspections along with Property Managers bi-annually
Assist with the Supportive Services program so that it is successful
